This Privacy Policy explains how DeepInspect Inc. (“DeepInspect,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit deepinspect.ai (the “Site”) or interact with our services. DeepInspect Inc. is the data controller for personal information collected through the Site.

1. Information We Collect

Information You Provide

  • Waitlist signup: email address.
  • Contact form: email address, name, company, job title, your current AI/environment context, and the concern or message you submit.
  • Demo booking: if you book a demo through our embedded scheduler, you provide scheduling information directly to our scheduling processor (Cal.com). See “Third-Party Embeds” below.
  • AI Readiness Check: if you complete the free AI readiness assessment, we collect your name, email address, company, your answers to the questionnaire, and optional campaign parameters (such as UTM tags) submitted with the form.
  • Digest signup: email address, role, and company if you subscribe to our digest.
  • Recruiting assessments: if you complete a candidate assessment on the Site, we collect your email address and your responses (including self-reported traits, knowledge answers, and timestamps).
  • NDA: if you sign our mutual non-disclosure agreement on the Site, we collect your name, email address, and the fact and time of your acceptance. We generate and store a PDF copy of the signed agreement.
  • Correspondence: any content you send to us by email.

Information Collected Automatically

  • Log and device data: IP address, user agent, referring URL, pages viewed, and timestamps. This data is processed by our hosting provider (Vercel) and may appear in server logs and security audit trails.
  • Session recordings and product analytics (optional): if you accept analytics cookies, Microsoft Clarity may record sessions (mouse movements, clicks, scrolls, page navigation) and build heatmaps. Clarity uses first- and third-party cookies and similar technologies, may capture the IP address, and may mask or redact input fields. Microsoft uses this data in accordance with its own Privacy Statement.
  • Visitor identification (optional): if you accept marketing cookies, RB2B may load scripts and cookies from our data partners. Those partners may associate your Site activity with personal information they or others hold about you, including your email address. See “Cookies and Tracking” below.

Third-Party Embeds

The Site embeds content from Cal.com (demo scheduling) and YouTube (product videos). When you interact with these embeds, those providers may set cookies and collect usage data directly from your browser under their own privacy policies. We do not control that collection.

2. How We Use Your Information

  • Send product updates, launch notifications, and waitlist communications you have requested.
  • Respond to inquiries submitted through the contact form and follow up on demo requests.
  • Deliver AI Readiness Check results and follow up on assessment submissions.
  • Send the digest and related communications you have requested.
  • Review recruiting assessment responses and maintain signed NDAs.
  • Operate, secure, and improve the Site, including debugging and abuse prevention.
  • Understand how visitors use the Site through analytics and session recordings, when you have opted in.
  • Identify business visitors and send marketing communications through service providers and data partners, when you have opted in to marketing cookies.
  • Comply with legal obligations and enforce our terms.

3. Legal Bases for Processing (EEA / UK)

If you are located in the European Economic Area or the United Kingdom, we process personal data on the following legal bases:

  • Consent - for session recordings, non-essential cookies, and marketing communications, where required.
  • Legitimate interests - to operate and secure the Site, respond to inquiries, deliver the AI Readiness Check, and evaluate candidate assessments.
  • Performance of a contract / pre-contractual steps - to respond to demo requests and sales inquiries.
  • Legal obligation - to comply with applicable law.

4. Cookies and Tracking

We use cookies, local storage, and similar technologies on the Site. Essential storage (for example, your theme preference and your cookie consent choice) is always active. Analytics (Microsoft Clarity) and marketing (RB2B) technologies load only if you choose Accept all or enable those categories in Customize. Optional cookies are off by default.

When you first visit the Site, a cookie banner lets you choose Essential only, Accept all, or Customize. You can change your choices at any time using Cookie settings in the Site footer. Your selection is stored in your browser (local storage) so we can remember it on return visits.

Third-party embeds from Cal.com and YouTube may set cookies when you interact with them, independent of our cookie banner. You can also control cookies through your browser settings; blocking cookies may affect Site functionality.

If you accept marketing cookies, cookies and similar technologies may be used by our online data partners or vendors to associate your Site activity with other personal information they or others have about you, including by association with your email. We (or service providers on our behalf) may then send communications and marketing to these email addresses. You may opt out of receiving this advertising by visiting https://app.retention.com/optout.

We do not currently respond to browser “Do Not Track” signals. We honor the Global Privacy Control (GPC) signal as a valid opt-out of sale/sharing for users to whom the CCPA applies; when we detect GPC, we keep optional cookies off unless you change that in your browser. You may also opt out of advertising described in this section at https://app.retention.com/optout.

5. How We Share Your Information

We share personal information with the service providers and data partners listed below as needed to operate the Site. Analytics and marketing providers receive data only when you have opted in through our cookie banner, as described in “Cookies and Tracking.”

  • Vercel Inc. - website hosting, edge network, and server logs.
  • Amazon Web Services (Amazon SES) - transactional email delivery (waitlist confirmations, contact form notifications, assessment verification codes, AI Readiness results, and digest-related email).
  • Amazon Web Services (Amazon S3) - storage of signed NDA PDFs.
  • Google LLC (Google Sheets, Google Workspace, and Google Apps Script) - record-keeping for waitlist, contact, recruiting assessment, and AI Readiness Check submissions.
  • Microsoft Corporation (Microsoft Clarity) - session recording and product analytics, when you opt in to analytics cookies.
  • RB2B - visitor identification, data partner matching, and related marketing services (including through Retention.com), when you opt in to marketing cookies.
  • Cal.com, Inc. - embedded demo scheduling.
  • Google LLC (YouTube) - embedded product videos.

We may also disclose personal information when required by law, to protect our rights and users, or in connection with a merger, acquisition, or sale of assets (in which case we will provide notice before personal information becomes subject to a different privacy policy).

6. International Data Transfers

DeepInspect Inc. is based in the United States, and the providers listed above may process personal information in the United States or other countries where they operate. Where required, we rely on appropriate safeguards for international transfers, such as the European Commission’s Standard Contractual Clauses.

7. Data Retention

  • Waitlist records: retained until you unsubscribe, and for up to two (2) years after general product launch, after which we delete or anonymize.
  • Contact form submissions: retained for up to twenty-four (24) months from the date of submission.
  • AI Readiness Check submissions: retained for up to twenty-four (24) months from the date of submission.
  • Digest signups: retained until you unsubscribe or ask us to delete your information.
  • Recruiting assessment submissions: retained for up to twenty-four (24) months from the date of submission.
  • Signed NDAs: retained for the period required for legal, audit, and business purposes, typically for the life of the agreement and a reasonable period thereafter.
  • Cookie consent choices: stored in your browser until you clear site data or change your preferences.
  • Server and security logs: retained for the shorter of our hosting provider’s default retention or twelve (12) months.
  • Microsoft Clarity session data: when you opt in, retained according to Microsoft’s default Clarity retention (currently up to thirteen (13) months).

We may retain information for longer where required by law, to resolve disputes, or to enforce our agreements.

8. Data Security

We use commercially reasonable administrative, technical, and physical safeguards, including encryption in transit (HTTPS), access controls, and reputable infrastructure providers. No system is perfectly secure; we cannot guarantee the security of information transmitted to or from the Site.

9. Your Rights

We extend the following rights to all users, regardless of residence:

  • Access - request a copy of the personal information we hold about you.
  • Correction - ask us to correct inaccurate or incomplete information.
  • Deletion - ask us to delete personal information we hold about you.
  • Portability - receive a copy of your data in a portable, machine-readable format.
  • Objection / restriction - object to or request restriction of certain processing, including marketing.
  • Withdraw consent - where we rely on consent, withdraw it at any time (this will not affect the lawfulness of prior processing). For optional cookies, use Cookie settings in the Site footer.
  • Non-discrimination - we will not discriminate against you for exercising any of these rights.

California residents (CCPA/CPRA): in the prior 12 months we have collected identifiers (email, IP), internet activity (usage and session data), and professional information (employer, title) for the purposes described above, including through data partners when you opt in to marketing cookies. You may opt out of advertising communications at https://app.retention.com/optout. You have the right to know, delete, correct, and limit use of sensitive personal information (noting we do not use sensitive personal information for purposes that trigger the “limit” right).

To exercise any right, email hello@deepinspect.ai. We will verify your request using the email address on file and respond within the timeframe required by applicable law. You may also use an authorized agent. You have the right to lodge a complaint with a supervisory authority (such as your local EU data protection authority).

10. Children’s Privacy

The Site is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be indicated by updating the “Last Updated” date above, and, where appropriate, by a notice on the Site.
